1. Who we are
eg8 ([eg8 registered company name], registration number [CIPC registration number]) manufactures gate hardware and supplies and installs gates from Pinetown, KwaZulu-Natal. We are the responsible party for the personal information described in this policy.
This policy covers our website eg8.co.za and our online quoting and order portal at eg8.co.za/orders, including client accounts, quotes, orders, invoices and delivery or installation of your gate. Orders may be fulfilled by our franchise partner, The Gate Doctor, who processes your information on our behalf for that purpose.

2. Information we collect

We collect this information directly from you. We do not collect special personal information (such as health or biometric information), and our services are not intended for children under 18.
3. How and why we use it
- To quote, supply and install your gate — preparing quotes, confirming orders, manufacturing, quality checks, delivery and installation, and keeping you updated on progress. Lawful basis: performing our contract with you, or steps you asked us to take before it.
- To run your account — signing in, password resets and showing your quotes, orders and order tracking. Contract.
- To invoice and keep financial records — invoices, receipts, statements and the accounting and tax records we are required to keep. Legal obligation and contract.
- To answer enquiries and provide support. Your request; our legitimate interest in responding.
- To keep our systems secure and prevent fraud or misuse. Legitimate interest and legal obligation.
- To send you news or offers — only if you have agreed to it. Every message lets you opt out. Consent.
We do not sell your personal information, and we do not use it for automated decisions that have legal or similar effects on you.
4. Who we share it with
Only as far as needed for the purposes above:
- The Gate Doctor, our franchise partner, to manufacture, deliver and install your order.
- Couriers (for example The Courier Guy) for self-installation orders that we ship to you.
- Our hosting and email service providers, which host the website, portal and databases in South Africa.
- Suppliers of materials and motors — only order details, never your contact details, unless needed for a warranty claim.
- Our accountants and auditors, and SARS or other authorities where the law requires it.
- Google, if you allow third-party cookies and view the map on our contact section (see the Cookie Policy).
Our operators (service providers who process information for us) are bound by agreements that require them to keep it confidential and secure, as section 21 of POPIA requires.
5. Transfers outside South Africa
Our website, portal and databases are hosted in South Africa. Some service providers — for example Google for the embedded map and web fonts — may process limited technical information (such as your IP address) outside South Africa. Where that happens we rely on providers that are subject to data-protection laws or binding agreements giving protection substantially similar to POPIA, as section 72 of POPIA requires.
6. How long we keep it

After that we delete or de-identify the information.
7. How we protect it
- The website and portal are served over HTTPS (encrypted in transit).
- Passwords are stored as one-way hashes; bank account details in our accounting system are encrypted.
- Access to the admin and accounting systems is limited to authorised staff with individual logins.
- Databases are backed up and kept on servers that are not publicly accessible.
If a security compromise affects your personal information, we will notify you and the Information Regulator as POPIA requires.
8. Your rights
Under POPIA (and, where they apply to you, the EU and UK GDPR) you may:
- ask whether we hold personal information about you and request a copy of it;
- ask us to correct, update or delete information that is inaccurate, out of date, excessive or unlawfully obtained;
- object to processing based on our legitimate interests, and to direct marketing at any time;
- withdraw consent you have given (for example for marketing or optional cookies) — this does not affect processing that already happened;
- lodge a complaint with the Information Regulator (inforegulator.org.za).
Send requests to orders@eg8.co.za. We may need to confirm your identity first and will respond within a reasonable time — usually within 30 days. Formal requests for records can also be made under our PAIA Manual.
9. Changes to this policy
We may update this policy from time to time. The "last updated" date shows when it last changed. If a change materially affects how we use your information, we will let portal users know by email or a notice when they sign in.
